# Enable PSMF Contributor Management

With the 26R3 release, SafetyDocs supports managing PSMF contributor reviews, providing centralized, automated verification of PSMF content ownership responsibilities and updates to document sharing settings between review cycles.

## Prerequisite

Before you enable this feature, you must first enable PSMF Request Management.

## Overview

To configure this feature in your Vault:

* Select a _PSMF Contributor Role_ setting
* [Update object lifecycles][1]
* [Update object layouts][2]
* [Configure custom sharing rules][3]
* [Configure custom permission sets][4]
* [Create the _Finalize PSMF Contributor Review_ object workflow][5]
* [Add a user action to the _PSMF Contributor Review Lifecycle_ to allow users to initiate the workflow][13]
* [Create a user action on the _PSMF Binder Lifecycle_ document lifecycle][14]
* Activate the standard _PSMF Contributor Reviews_ sub-tab on the _PSMF_ tab

## Update Object Lifecycles {#update-object-lifecycles}

To update the _PSMF Contributor Review Lifecycle_:

* Add the standard _PSMF Office_ role
* Edit role permissions as follows:
    * _Read_ permissions for all lifecycle states
    * _Edit_ and _Delete_ permissions for the _Active_ state
* Add user actions to the _Active_ state as follows:
    * **Condition Type**: Select **Always**
    * **Allow the following actions**
        * Select **Generate Contributor Tasks**
            * **Action Label**: Enter `Generate Contributor Tasks`
        * Select **Send Task Reminder to Contributors**
            * **Action Label**: Enter `Send Task Reminder to Contributors`

**Note**: Depending on the creation date and configuration of your Vault, it may have both a custom _PSMF Office_ role and a standard _PSMF Office Manager_ role. We recommend migrating your PSMF feature configuration to the standard _PSMF Office Manager_ role and relabeling this role to _PSMF Office_. If you require assistance, contact your Veeva Representative.

To update the _PSMF Contributor Review Task Lifecycle_:

* Create the _Cancelled_ lifecycle state
* Add the standard _PSMF Office_ role
* Edit role permissions as follows:
    * _Read_ permissions for all lifecycle states
    * _Edit_ and _Delete_ permissions for the _Open_ state

## Update Object Layouts {#update-object-layouts}

Copy the standard layouts for the following objects:

* _PSMF Contributor Review_
* _PSMF Contributor Review Task_

To the _PSMF Contributor Review_ object layout, add the following fields to the bottom of the _Details_ section:

* _Exclude Annexes_
* _Exclude Generated Documents_

## Configure Custom Sharing Rules {#configure-custom-sharing-rules}

To configure custom sharing rules:

1. Enable custom sharing rules for the following objects:
    * _PSMF Contributor Review_
    * _PSMF Contributor Review Task_
2. For each object, create a custom sharing rule with a **Label** as follows:
    * For _PSMF Contributor Review,_ enter `PSMF Office - Contributor Review`
    * For _PSMF Contributor Review Task,_ enter `PSMF Office - Contributor Review Task`
3. For each object, add a manual assignment to the custom sharing rule as follows:
    *   **Role**: Select **PSMF Office**
    *   **Users & Groups**: Select **PSMF Coordination**

## Configure Custom Permission Sets {#configure-custom-permission-sets}

To configure permissions:

* Update the custom _PSMF Contributor Actions_ permission set as follows:
    * Grant object permissions as follows:
        * _Read_ permissions to the _PSMF Contributor Review_ object
        * _Read_ and _Edit_ permissions to the _PSMF Contributor Review Task_ object
            * _View_ object control permissions to the _PSMF Section/Group_ object control  
    * Grant _View_ tab permissions to the _PSMF Contributor Reviews_ tab
* Update the custom _PSMF Coordination Actions_ permission set as follows:
    * Grant object permissions as follows:
        * _Read_, _Create_, and _Edit_ permissions to the _PSMF Contributor Review_ object
        * _Read_, _Create_, _Edit_, and _Delete_ permissions to the _PSMF Contributor Review Task_ object
            * _View_ object control permissions to the _PSMF Section/Group_ object control
    * Grant _View_ and _Execute_ object action permissions for the following actions on the _PSMF Contributor Review_ object:
        * _Finalize PSMF Contributor Review_
        * _Generate Contributor Tasks_
        * _Send Task Reminder to Contributors_ 
    * Grant _View_ tab permissions to the _PSMF Contributor Reviews_ tab

## Create the Finalize PSMF Contributor Review Object Workflow {#finalize-psmf-constributor-review-workflow}

To create the _Finalize PSMF Contributor Review_ object workflow:

1. Create an object workflow, populating fields as follows:
   * **Label**: Enter `Finalize PSMF Contributor Review`
   * **Lifecycle**: Select **PSMF Contributor Review Lifecycle**
2.  Configure the following workflow steps:
   * [_Start_][6]
   * [_Task: Complete All Tasks_][7]
   * [_Decision: Tasks Complete?_][8]
   * [_Action: Finalize Contributor Review_][9]
   * [_SC: Complete_][10]
   * [_SC: Inactive_][11]
   * [_SC: Active_][12]
3. Activate the workflow.

### Configure the Start Step {#start-step}

To configure the _Start_ step, in the **Next Steps** field:

1. Remove the **End** step. 
2. Select **Create Step**.
3.  In the _Create Step_ dialog, enter `Task: Complete All Tasks` in the **Step Name** field.

### Configure the Task: Complete All Tasks Step {#complete-all-tasks-step}

To define the _Task: Complete All Tasks_ task step:

1. In the _General Settings_ section, populate fields as follows:
    * **Task Label**: Enter `Complete Tasks`     
    * **Assign Task To**: Select **Workflow Owner**   
    * **Instructions**: Enter `Review and complete all tasks for accuracy.`     
    * **Task Requirement**: Select **Required**      
2.  In the _Prompts_ section, select the **Prompt for Verdicts** checkbox: 
    * **Verdict Label**: Enter `Tasks are complete`    
    * Select **Add Verdict** 
    * **Verdict Label**: Enter `Inactivate Review`      
3.  For **Next Steps**, select **Create Step**, then enter `Decision: Tasks Complete?` for **Step Name**.

### Configure the Decision: Tasks Complete? Step {#decision-tasks-complete-step}

To define the _Decision: Tasks Complete?_ decision step, create rules as follows:

* **Condition Type**: Select **All conditions are met**   
    * **If**: Select **Task > Task: Complete All Tasks > all labels equal > Tasks are complete**   
        * **then**: Select **Create Step**        
            * In the _Create Step_ dialog, enter `Action: Finalize Contributor Review` in the **Step Name** field            
    * Select **Create Rule**
    * **If**: Select **Task > Task: Complete All Tasks > all labels equal > Inactivate Review**
        * **then**: Select **Create Step**   
            * In the _Create Step_ dialog, enter `SC: Inactive` in the **Step Name** field          
    * In the _Else_ section, select **Create Step** for the **then** field
        * In the _Create Step_ dialog, enter `SC: Active` in the **Step Name** field

### Configure the Action: Finalize Contributor Review Step {#finalize-contributor-review-step}

To define the _Action: Finalize Contributor Review_ system action step:

1. For **System Action**, select **Finalize PSMF Contributor Review**.
2. For **Next Steps** select **Create Step**, then enter `SC: Complete` for **Step Name**.

### Configure the SC: Complete Action Step {#complete-action-step}

To define the _SC: Complete_ action step:

1. Create a rule as follows:
    * **Condition Type**: Select **Always**
        * **perform actions**: Select **Change State**
            * **Lifecycle State**: Select **Complete**   
2.  For **Next Steps**, select **End**.

### Configure the SC: Inactive Action Step {#inactive-action-step}

To define the _SC: Inactive_ action step:

1. Create a rule as follows:
    * **Condition Type**: Select **Always**
        * **perform actions**: Select **Change State**
            * **Lifecycle State**: Select **Inactive**   
2.  For **Next Steps**, select **End**.

### Configure the SC: Active Action Step {#active-action-step}

To define the _SC: Active_ action step:

1. Create a rule as follows:
    * **Condition Type**: Select **Always**
        * **perform actions**: Select **Change State**
            * **Lifecycle State**: Select **Active**   
2.  For **Next Steps**, select **End**.

## Add a User Action to the PSMF Contributor Review Lifecycle {#user-action-object-lifecycle}

To allow users to initiate the _Finalize PSMF Contributor Review_ workflow, add a user action to the _Active_ state of the _PSMF Contributor Review Lifecycle_ as follows:

* **Condition Type**: Select **Always**
    * Select **Workflow > Finalize PSMF Contributor Review**
        * **Action Label**: Enter `Finalize PSMF Contributor Review`

## Create a User Action on the PSMF Binder Lifecycle {#user-action-binder-lifecycle}

To update the _PSMF Binder Lifecycle_ document lifecycle, create a user action on the _Approved_ state as follows:

* **Condition Type**: Select **Always**
* **Allow the following actions**
    * Select **Start PSMF Contributor Review**
        * **Action Label**: Enter `Start PSMF Contributor Review`
