# Enable Follow-Up Questionnair​​es

With the 24R2 release, you can configure your Vault to generate follow-up questionnaires for _Case Contacts_. Using _Follow-up Questionnaire Rules_ and criteria, Vault generates questionnaires to send to the applicable _Case Contacts_ when users run the _Create Correspondence and Questionnaires_ action. When the action runs, Vault evaluates the _Case_ against the selected _Follow-up Questionnaire Rules_ as well as any _Watchlists_ or MedDRA Terms. If there is a match to one or more questionnaires, Vault generates a _Questionnaire_ type of _Transmission_ record for each _Follow-up Questionnaire Rule_ and _Case Contact_ pair. Vault generates online questionnaires (<a href="/en/lr/49033/">checklists</a>) or questionnaire documents from templates based on your configuration. For online questionnaires, Vault also pre-populates answers on the questionnaire to reduce recipient effort. 

After performing the configuration on this page, you must complete all steps in <a href="/en/lr/726960/">Set Up Follow-Up Questionnaires</a>. After you have enabled this feature, see <a href="/en/lr/726955/">Send a Follow-Up Questionnaire to Case Contacts</a> for more information.

## Updates

We have added the following updates to this feature:

* **Partially Completed Follow-up Questionnaires**: With the 26R2 release, Vault automatically submits partially completed questionnaires so that you can capture all unsubmitted data. To configure your Vault for the updated feature, add the _Auto-Submission Schedule_ reference field to the _Follow-up Questionnaire Rule_ and _Transmission Checklist_ <a href="/en/lr/26387/">object layouts</a>.
* **Document Follow-Up Questionnaires**: With the 26R1 release, you can configure your Vault to generate follow-up questionnaire documents from document templates and send them to recipients based on _Follow-Up Questionnaire Rules_. Vault uses <a href="/en/lr/5509/">controlled document templates</a> to generate questionnaire documents from the _Questionnaire (Template)_ and _AESI Questionnaire (Template)_ document types. To configure your Vault for the updated feature, add the _Distribute Document by Email_ field to the [_Follow-Up Questionnaire Rule_ layout][11].
* **Formula Expressions for Online Questionnaire Follow-up Rules**: With the 25R2 release, Admins can use <a href="/en/lr/861364/">formula expressions</a> to define the _Follow-up Rule Criteria_ used to evaluate _Case_ data for _Follow-up Rules_. To configure your Vault for the updated feature, see [Update the Follow-Up Rule Criteria Layout][6].
* **Online Questionnaires for Follow-Ups Updates**: With the 25R1 release, users can generate questionnaire documents from templates for follow up queries when users run the _Create Correspondence and Questionnaires_ action. Instead of generating an online  questionnaire for _Questionnaire_ types of _Transmissions_, Vault creates _Case > Correspondence > Questionnaire_ documents for all active document templates that match the _Country_ and _Language_ of the _Case Contact_. See [Online Follow-Up Questionnaire Updates][9] to configure your Vault for the updated feature.* 

## Add Questionnaires Sub-Tab to Transmissions Tab

To add the _Questionnaires_ sub-tab to the _Transmissions_ tab:

1. Navigate to **Admin > Configuration > Tabs**.
2. Select **Create**.
3. Complete the following information:
    * **Label**: Questionnaires
    * **Tab Type**: Object
    * **Object**: Transmissions
    * **Object Type**: Questionnaires
    * **Creation Options**: Prevent record creation
4. Select **Save**.
5. Select **Reorder**.
6. Drag and drop the **Questionnaires** sub-tab under the **Transmissions** tab.
7. Select **Save**.

## Create Application Managed User

You must create a single _Application Managed User_ record, which Vault will associate with all checklist questionnaire instances and will be used by all respondents. To create a PAL user:

1. Navigate to **Admin > Users & Groups**.
2. Select **Create**.
3. On the _Create User_ page, complete the following information:
    * In the _Domain User_ section, select the **Domain User** field to create an applicable domain user.
    * In the **General Info** section: 
        * **First Name**: PAL Follow-up
        * **Last Name**: Enter as needed
        * Populate the **User Name**, **Email**, **Language**, and **Timezone** fields as applicable.
    * In the _Licensing_ section:
        * **Security Profile**: PAL Follow-up Questionnaire Respondent
    * In the _Application Licensing_ section, populate the **Safety Management** and **Safety Docs** fields as applicable. (The _Safety Docs_ field appears only in Vaults licensed for <a href="/en/lr/01233/">Veeva SafetyDocs</a>.)
4. Select **Save**.
5. Navigate to **Business Admin > Objects > Application Managed Users**.
6. Select **Create**.
7. On the _Create Application Managed User_ page, complete the following information: 
    * **Application User Management Type**: PAL Follow-up Questionnaire Respondent
    * **User**: Select the user you created in step 3 from the drop-down menu or use the **Advanced Search** icon to use filters and refine your search.
8. Select **Save**.

## Configure Layouts

Configure layouts for the following objects:

### Create the Questionnaire Layout

To create the _Questionnaire_ object type layout on the _Transmission_ object: 
1. Navigate to **Admin > Configuration > Objects > Transmission > Layouts**.
2. Select **Create**.
3. In the window, complete the following information: 
    * **Object Type**: _Questionnaire_
    * **Layout Label**: `Questionnaire Detail Page Layout`
4. Select **Done**. 
5. Select **Save**.
6. In the _Details_ section, add the following fields:
    * **Case**
    * **Case Identifier**
    * **Name**
    * **Correspondence Method**
    * **Follow-up Questionnaire Rule**
    * **Ready to Send**
    * **Recipient (Case Contact)**
    * **From**
    * **Reply-To**
    * **Transmission Date**
    * **Due Date**
7. After the _Details_ section, use the table below to insert related object sections and then save the page:

### Update Transmission Object Layout Rules

Create the _Hide Email Addresses_ layout rule and update the _Email Layout Rule_ on the _Transmission_ object:

1. Navigate to the _Questionnaire Detail Page Layout_.
2. Select **Layout Rules**.
3. Create a layout rule with the following information: 
    * **Label**: Hide Email Addresses
    * **IF this Layout Rule Expression is TRUE**: `correspondence_method__v != 'email__v'`
    * **Apply the following display effects**: 
        * Hide > Sections > Email Events
        * Hide > Fields > Reply-To, From
4. Select **Save**. 

In the _Validation Rules_ tab of the _Transmission_ object, if the _Email Layout Rule_ (`email__c`) is active, delete it and add it to the _Correspondence_ object type:
1. Navigate to **Admin > Configuration > Objects > Transmission > Validation Rules**
2. Delete the _Email Layout Rule_.
3. Navigate to the **Object Types** tab.
4. Select the **Correspondence** object type. 
5. In the _Type Validation Rules_ section, select **Create**.
6. On the _Create Type Validation Rule_ page, complete the following information:
    * **Label**: Email Correspondence
    * **Error Message**: "You must provide destination and reply-to email for email correspondence"
    * **Error Location**: Destination Email, Reply-To
    * **Validation Expression**: `If(correspondence_method__v = 'email__v', (Not(IsBlank(destination_email__v)) && Not(IsBlank(replyto__vr.email__sys))), True)`
7. Select **Save**.

### Create the From Email Person Layout

To create the _From Email Person_ object type layout for the _Person_ object: 
1. Navigate to **Admin > Configuration > Objects > Person > Layouts**.
2. Select **Create**.
3. In the window, complete the following information: 
    * **Object Type**: From Email Person
    * **Layout Label**: From Email Person Detail Page Layout
4. Select **Done**. 
5. Select **Save**. 

### Create the Questionnaire Checklist Design Layout

To create the **Questionnaire Checklist Design** layout: 
1. Navigate to **Admin > Configuration > Objects > Checklist Design > Layouts**.
2. Select **Create**. 
3. In the **Add Layout** window, complete the following information: 
    * **Object Type**: Questionnaire Checklist Design
    * **Layout Label**: Questionnaire Checklist Design Detail Page Layout
4. Select **Done**.
5. In the **Details** section, add the following fields:
    * **Checklist Type**
    * **Translated Checklist**
    * **Ad Hoc Questions Allowed**

#### (Optional) Enable Ad Hoc Questions and Sections 

If enabled, respondents can add ad hoc questions and sections to checklist instances. You must <a href="/en/lr/726960/#optional-enable-ad-hoc-questions-and-sections">set the relevant fields</a> and follow the steps below to grant permissions:
1. Navigate to **Admin > Users & Groups > Permission Sets > [Permission Set] > Objects**.
2. Select **Transmission Checklist**.
3. In the _Object Permissions_ section, grant _Edit_ permissions to the _Questionnaire Checklist_ object type and select **Save**.
4. In the _Object Field Permissions_ section, grant _Read_ permissions to all fields and select **Save**.
5. Navigate back to the **Objects** tab and select **Transmission Response**. 
6. In the _Object Permissions_ section, grant _Create_ and _Delete_ permissions to the _Transmission Response_ object types as needed and select **Save**.
7. In the _Object Field Permissions_ section, grant _Edit_ access as needed and select **Save**.

### Update the Follow-Up Questionnaire Rule Layout {#rule-layout}

To update the _Follow-up Questionnaire Rule_ layout, navigate to **Admin > Configuration > Objects > Follow-up Questionnaire Rule > Layouts > Follow-up Questionnaire Rule Detail Page Layout**. After the _Details_ section, use the following table to insert related object sections and edit default columns:

### Update the Follow-Up Rule Criteria Layout

Update the _Follow-up Rule Criteria_ layout:
1. Navigate to **Admin > Configuration > Objects > Follow-up Rule Criteria > Layouts > Follow-up Rule Criteria Detail Page Layout**. 
2. In the _Details_ section, add the _Follow-up Questionnaire Rule_ field.
3. To support [Formula Expressions for Online Questionnaire Follow-up Rules][10], we recommend the following:
   * Add the _Follow-up Rule Criteria Query Builder_ control field with the **Slider** (<img class="inline" src="https://platform.veevavault.help/assets/images/saf-app-control.png" alt="Slider Icon" style="" />) icon.
   * Ensure the following fields are not on the layout:
     * _Object Name_
     * _Field Name_
     * _Value_
4. Select **Save**.

### Update the Case Layout

To access generated _Questionnaire_ type of _Transmissions_ in each _Case_, add or update the _Correspondences_ section depending on your existing setup:
1. Navigate to **Admin > Configuration > Objects > Case > Layouts > Case Page Layout**.
2. If you do not have the <a href="/en/lr/01326/">Scheduled Follow-Up Emails</a> feature enabled, insert a related object section with the following information:
    * **Related Object**: Transmission
    * **Section Label**: Questionnaires
    * **Creation Option**: Create record in pop-up dialog
    * **Criteria VQL**: `object_type__vr.api_name__v CONTAINS ('questionnaire__v')`
    * Select **Apply on Create**
3. Select **Done**.
4. If you have the Scheduled Follow-Up Emails feature enabled, in the existing _Correspondences_ section, update the **Criteria VQL** to `object_type__vr.api_name__v CONTAINS ('correspondence__v', 'questionnaire__v')` 
5. Select **Done**.
6. Select **Save**.

### Update the Case Number Layout

To access _Questionnaires_ generated for all _Case_ versions of the same _Case_, add the _Case Number_ field to the _Questionnaire_ object type for the _Transmission_ object:
1. Navigate to **Admin > Configuration > Objects > Transmission > Object Types**.
2. From the **All Actions** menu , select **Edit Object Type Fields**.
3. Under the _Questionnaire_ object type, select the **Case Number** checkbox.
4. Select **Save**.

Next, insert the _Questionnaires_ section to the _Case Number_ layout:
1. Navigate to **Admin > Configuration > Objects > Case Number > Layouts > Case Number Detail Page Layout**.
2. Insert a related object section with the following information:
    * **Related Object**: Transmission
    * **Section Label**: Questionnaires
    * **Creation Option**: Prevent record creation
    * **Criteria VQL**: `object_type__vr.api_name__v CONTAINS ('questionnaire__v')`
3. Select **Done**.
4. Select **Save**.

## Remove Criteria VQL from a Transmission Object Field

Sending online questionnaires to _Case Contacts_ is not restricted to the _Reporter_ object type. Update the _Recipient (Case Contact)_ field:
1. Navigate to **Admin > Configuration > Objects > Transmission > Fields > Recipient (Case Contact)**.
2. Select **Edit**.
3. Clear the **Criteria VQL** field. 
4. Select **Save**.

## Disable DAC for the Transmission Checklist Object

When Dynamic Access Control (DAC) is set on the _Transmission Checklist_ object, this interferes with _Case Access Groups_. Update the _Transmission Checklist_ object:
1. Navigate to **Admin > Configuration > Objects > Transmission Checklist**.
2. Select **Edit**.
3. In the **Options** section, clear the following checkboxes:
    * **Enable Custom Sharing Rules**
    * **Enable Matching Sharing Rules**
4. Select **Save**.

## (Optional) Update the Case Contact Language Field

To obtain language information for non-reporter _Case Contacts_, update the _Reporter Language_ field label and enable this field for other _Case Contact_ object types:
1. Navigate to **Admin > Configuration > Objects > Case Contact > Fields > Reporter Language**.
2. Select **Edit**.
3. Update the **Label** field to `Language`.
4. Update the **Help Content** field to `The language used by the case contact for communication`. 
5. Select **Save**. 
6. Navigate to **Admin > Configuration > Objects > Case Contact >Object Types**. 
7. From the **Actions** menu, select **Edit Object Type Fields**. 
8. For the _Health Care Professional_ and _Patient Contact_ object types, select the **Language** checkbox.
9. Select **Save**.

## Create a Lifecycle Stage Group for the Questionnaire Object Type

To create a lifecycle stage group for the _Questionnaire_ object type:
1. Navigate to **Admin > Configuration > Lifecycle Stage Groups**.
2. Select **Create**.
3. In the dropdown, select **Object Stage Group** and then **Continue**.
4. On the _Create Lifecycle Stage Group_ page, complete the following information: 
    * **Stage Group Label**: Questionnaire Stages
    * **Object Lifecycle**: Transmission Lifecycle
    * **Object Type**: Questionnaire
5. Select **Save**.
6. Use the table below to create the applicable stages and add states.
    * To create a stage, select **Create** beside the _Stages_ section.
    * To add a state to a stage, select the stage and then select **Add** beside the _States_ section.

To add the _Create New Version_ user action to the _Approved_ state: 
1. Navigate to **Admin > Configuration > Object Lifecycles > Checklist Design Lifecycle**. 
2. In the _States_ section, select **Approved**.
3. Create the following user action: 
    * **Always > Create New Version > Create New Version**
4. Select **Save**.

### Add an Entry Action to the Checklist Design Lifecycle Approved State

To add the _Make previous checklist design version superseded_ entry action to the _Approved_ state:
1. In the _Checklist Design_ lifecycle _Approved_ state, create the following entry action:
    * **Always > Make previous checklist design version superseded**
2. Select **Save**. 

### Add User Actions to the Checklist Design Lifecycle Draft State

To add user actions to the _Draft_ state:
1. In the _Checklist Design_ lifecycle, navigate to the **Draft** state.
2. Create the following user actions: 
    * **Allow > Export Translations > Export Translations**
    * **Allow > Import Translations > Import Translations**
    * **Allow > Preview Design > Preview Design**
3. Select **Save**. 

## Add Actions to the Case Lifecycle

This section describes adding a user action and entry action to generate correspondences and online questionnaires for a follow-up _Case_. 

### Add the Create Correspondence and Questionnaires User Action

Add the _Create Correspondence and Questionnaires_ action to the _Case_ object and then add this user action to a _Case_ lifecycle state, depending on your business needs. This ensures Case Processors can manually generate a _Correspondence_ type of _Transmission_ and questionnaires.

#### Add the Create Correspondence and Questionnaires Action to the Case Object

To add the _Create Correspondence and Questionnaires_ action to the _Case_ object:
1. Navigate to **Admin > Configuration > Objects > Case > Actions**.
2. Select **Create**.
3. In the dropdown, select the **Create Correspondence and Questionnaires** action and then **Continue**.
4. On the _Create Action_ page, select **Save**.

#### Add the Create Correspondence and Questionnaires User Action to a Case Lifecycle State

To add the _Create Correspondence and Questionnaires_ user action to a _Case_ lifecycle state:
1. Navigate to **Admin > Configuration > Object Lifecycles > Case Lifecycle**.
2. Select the applicable state.
3. In the _User Actions_ section, select **Edit**. 
4. Add and configure the _Create Correspondence and Questionnaires_ user action depending on your business process.

### (Optional) Add the Create Correspondence and Questionnaires Entry Action to a Case Lifecycle State

Add the _Create Correspondence and Questionnaires_ entry action so that Vault generates a _Correspondence_ type of _Transmission_ and questionnaires when the Case reaches a certain lifecycle state, depending on your business needs:
1. Navigate to **Admin > Configuration > Object Lifecycles > Case Lifecycle**.
2. Select the applicable state.
3. Create the following entry action:
    * **Always > Create Correspondence and Questionnaires**
4. Select **Save**.

## Update Permissions

Grant _View_ permission for the _Questionnaires_ sub-tab and _Execute_ permission for the _Create Correspondence and Questionnaires_ action. 

To update permissions, navigate to **Admin > Users & Groups > Permission Sets > [Permission Set]**.

### Grant View Permissions for Questionnaires Sub-Tab

Update _View_ permissions for the _Questionnaires_ sub-tab:
1. In the applicable permission set, navigate to the **Tabs** tab and select **Edit**.
2. For the _Questionnaires_ sub-tab, select the **View** checkbox.
3. Select **Save**.

### Grant Execute Permissions for Create Correspondence and Questionnaires Action

Grant _Execute_ permissions for the _Create Correspondence and Questionnaires_ action depending on your business process: 
1. In the applicable permission set, navigate to the **Objects** tab. 
2. Select **Case**.
3. In the _Object Action Permissions_ section, select **Edit**.
4. For the _Create Correspondence and Questionnaires_ action, select the **Execute** checkbox.
5. Select **Save**.

## (Optional) Add Change State Action to Transmission Checklist Lifecycle

We recommend adding a _Change State_ <a href="/en/lr/43127/">user action</a> to the _In Progress_ state of the _Transmission Checklist_ Lifecycle to allow users to change the state of _Transmission Checklists_ to _Inactive_.

## Activate the Send Online Follow-Up Questionnaire Links via Email Job

To activate the _Send Online Follow-up Questionnaire Links via Email_ job:
1. Navigate to **Admin > Operations > Send Online Follow-up Questionnaire Links via Email**.
2. Select **Edit**.
3. For **Status**, select **Active**.
4. Select **Save**.

## <a id="25r1"></a>(25R1) Online Questionnaires for Follow-Ups Updates

To support the generation of questionnaire documents from templates, you must make the following changes:

* For the following document fields, unselect the **User must always enter a value (required)** attribute so that users are not required to enter values:
  * _Template > Correspondence (template) > Reply-To_
  * _Template > Correspondence (template) > Questionnaire (Template) > Follow-Up Rule_
* Update the <a href="/en/lr/39108/">security overrides</a>
 for the _Follow-up Questionnaire Rule_ shared document field. We recommend changing the _Default Security_ from _Hidden_ to _Editable_ and adding overrides as needed to support your business processes.

  * Add the _Generate Document from Template_ field.
  * Add a _Related Documents_ section.
* Update the _Generate Document from Template_ field on the applicable _Follow-Up Questionnaire Rules_. When this checkbox is selected, Vault does not generate online questionnaires for manual correspondence for which this rule applies.
