# Enable Distribute Workbench Reports Externally

Learn how to configure your Vault to distribute _Workbench Reports_ externally.

## About the Feature
With the 25R2 release, SafetyDocs extends the <a href="/en/lr/832416/">PVA Scheduling</a> and document distribution functionalities by allowing: 
- Vault to <a href="/en/lr/01242/#source-workbench-report-set-field">generate _Workbench Report_ documents from a _Workbench Report Set_</a>
- Users to distribute the generated _Workbench Reports_ to recipients via <a href="/en/lr/659185/">email</a> or <a href="/en/lr/682078/">Vault task</a>

This feature supports organizations with large volumes of reporting data in adopting time-saving SafetyDocs PVA capabilities, reducing the manual effort required to populate your _Library_ and distribute documents to partners for review.

### Workbench Report Set Scheduling
This release also introduces the ability to <a href="/en/lr/860557/#schedule-workbench-report-sets">automatically run _Workbench Reports_ in a _Workbench Report Set_ on a schedule</a>, ensuring timely compliance and reducing the manual workload required to generate recurring reports. As part of this feature, Vault enhances PVA Scheduling by allowing users to select specific days when defining a _Weekly Schedule_ on a _PVA Obligation_.

## Prerequisites
Before configuring this feature in your Vault, you must:
- Have a <a href="/en/lr/752926/">Veeva Safety Workbench</a> license
- Have a <a href="/en/lr/01233/">Veeva SafetyDocs</a> license
- <a href="/en/lr/832416/">Enable PVA Scheduling</a>
- <a href="/en/lr/659186/">Enable PVA Document Distribution via Email</a>
- <a href="/en/lr/682082/">Enable PVA Document Distribution via Vault Task</a>

## Overview
To configure Distribute Workbench Reports Externally in your Vault, you must: 
- <a href="/en/lr/26387/#how-to-add-object-fields">Add</a> the _Source Workbench Report Set_ field to the _PVA Obligation_ object layout, below the _Source Report Prompt_ field
- <a href="/en/lr/26387/#copy-a-layout">Copy the standard layout</a> for the following objects and <a href="/en/lr/26387/#set-a-default-layout">set the copied layout as the default</a>:
   - _PVA Obligation - Contact Join_
   - _Schedule_
   - _Schedule Component_
   - _Schedule Recurrence_
   - _Scheduled Event_
   - _Scheduler Exception_
- Set the _Safety Scheduler Job_ to <a href="/en/lr/22897/#how-to-edit-job-definitions">active</a>

      <p><strong>Note</strong>: To <a href="/en/lr/01242/#source-workbench-report-set-field">generate <em>Workbench Report</em> documents from a <em>Workbench Report Set</em> linked to a <em>PVA Obligation</em></a>, Vault requires the standard <em>PVA Lifecycle</em> <a href="/en/lr/2306/">document lifecycle</a>. Vault will not generate <em>Workbench Report</em> documents if your Vault is configured with a custom <em>PVA Lifecycle</em> document lifecycle.</p>

## Workbench Report Set Scheduling Updates {#workbench-report-set-scheduling-updates}
To enable _Weekly Schedule_ updates in your Vault, you must update the [_PVA Obligation_][2] object layout.

Optionally, you may choose to update the [_Workbench Report Set_][3] object layout to display related _PVA Obligations_ as needed for your business processes.

### Update the PVA Obligation Object Layout {#update-pva-obligation-layout}
To update the _PVA Obligation_ object layout, in the _Scheduling_ section, <a href="/en/lr/26387/#how-to-add-object-fields">add</a> the _Days to Run_ field below the _Schedule_ field.

### Update the Workbench Report Set Object Layout {#update-workbench-report-set-layout}
To update the _Workbench Report Set_ object layout, below the _Workbench Report Set Activities_ section, insert a <a href="/en/lr/26387/#related-object">related object section</a> and populate the fields as follows, then select **Done**:
* **Related Object**: Select **PVA Obligation**
* **Section Label**: Enter `PVA Obligations`
* **Show the section only in these lifecycle states**: Select **Pending**
* **Creation Option**: Select **Prevent record creation**
