To keep the Safety Suite reliable and up-to-date, Vault performs maintenance jobs at hourly, daily, and monthly intervals. Some jobs run at pre-defined intervals, while others are configurable. Navigate to Admin > Operations > Job Definitions to view Safety maintenance jobs. Ensure the job definitions you want to run in your Vault are active.
Hourly Maintenance Jobs
Vault performs the following Safety Hourly Maintenance jobs at the start of every hour:
- Duplicate detection: In Vaults configured to index migrated Cases, allows Vault to find newly migrated Cases during duplicate detection.
- PVA Effective date automation: Moves PV Agreements to the Effective state when the Agreement Effective Date of the PV Agreement is reached.
Daily Maintenance Jobs
Vault performs the following Safety Daily Maintenance jobs every day at 11 PM in your Vault’s timezone:
- CIOMS I forms: Generates CIOMS I forms for all Cases closed in the past day.
- EDQM mapping for E2B files: Updates the EDQM coding dictionary with any updates from the EDQM standard terms database.
- Email transmission: Updates the state of email Transmission records to Error for any records with unrendered cover letters.
- Validation Error Log: When the Evaluate Regulatory Conformance action is run, removes validation errors older than 30 days on Validation Error Logs.
- Document deletion: Deletes any documents marked for deletion, provided they are past their retention period.
Monthly Maintenance Jobs
Vault performs the following Safety Monthly Maintenance jobs on the first day of every month at 11 PM in your Vault’s timezone:
- Auto-Translation Framework: Resets the Number of Requests in Current Month field on Amazon Translate child records in the Amazon Translate Connection record.
- FDA eMDR document generation: Updates the current year for accurate FDA Manufacturer Report Number generation.
- MedDRA Suggestions: Resets the Number of Requests in Current Month field on the MedDRA Coding Connection: MedDRA Coding Settings: Veeva MedDRA Coding Settings record. The Number of Requests in Current Month counter has been turned off temporarily. This known limitation will be addressed in a future release.
Configurable Frequency Maintenance Jobs
You can configure the frequency with which Vault performs the following maintenance jobs:
- Case Volume Metrics: Generates the data displayed on Case Volume Metrics charts, such as the number of processed and completed Cases. Configure the job to run hourly or daily.
- Safety Scheduler Job: Creates the following records for the respective feature:
- PVA Scheduling: PVA Activities and documents for a given PVA Obligation. Configure the schedule on a Schedule Component.
- PVA Periodic Review: PVA Periodic Reviews for a given Pharmacovigilance Agreements document.
- Signal Review Scheduling: Signal Reporting Periods for Signal Product Profiles. Configure the schedule on a schedule on a Signal Product Profile.
- Workbench Report Set Scheduling: Workbench Reports and their documents. Configure the schedule on a Schedule Component.
