You can copy existing Cases, including all records, custom fields, and links to original Case documents, to create up to 100 new Cases.

About Copying Cases

Vault Safety supports copying an existing Case to create up to 100 new Cases, which can then be individualized and processed as needed. This is useful, for example, when you need to create multiple Cases from a single literature report.

When you copy a Case, Vault copies:

  • All parent and child records
  • Custom fields from source documents
  • Inbound Transmission records
  • The following related records:
    • Parent Information Cases
    • Domestic Localized Cases
    • Localized Parent Information Cases
  • Case documents with the following classifications:
    • Case > Source > Adverse Event Report
    • Case > Source > Attachment
    • Case > Source > Literature
    • Literature > Literature Article

For each newly created Case, Vault:

  • Sets the version number to 0.1, the lifecycle state to its initial state, and the Intake Method to Copy.
  • Generates new WWUIDs and UIDs.
  • Recalculates the Case Access Group.
  • Links the Case to the related Inbox Item on the copied Case.
  • Generates a new Narrative document with the content from the source Case.
  • Generates a Case Relationship record with a link to the original Case in the Linked Cases section.
  • If the initial Case was created from the Safety-EDC Vault Connection, clears the Link (link__sys) field.
  • Logs the source Case ID in the audit log for the Case and all child records.

On the copied Case, Vault populates the Number of Cases field with the number of copies created. Vault does not update auto-calculated fields or reevaluate expectedness or assessments.

Prerequisite

To use the features described on this page, your Admin must enable Case Copy with Linking.

Copying a Case

To copy a Case:

  1. Navigate to the Case you want to copy.
  2. From the All Actions menu, select Copy Case.
  3. In the Copy Case dialog, enter the number of Cases you want to create.
  4. Select Complete.
  5. On the confirmation dialog, select Done.

Result

Vault begins creating the Case copies. The length of time required to complete the action depends on the number of copies. You cannot initiate the Copy Case action until Vault completes the in-process request. When Vault generates all Case copies, you receive a notification confirming the number of created Cases.

View Copied Cases

You can view a list of all Cases copied from a specific source Case, and then export, share, and copy reports. To generate a Copied Cases report:

  1. Navigate to Analytics > Reports.
  2. Select Copied Cases.
  3. In the Case Relationship > Related Case equals field, select the source Case from the drop-down.
  4. Select Continue.

Result

Vault displays a list of all Cases with a Case Relationship record that links to the source Case.
