Learn how to configure your Vault so you can deprecate Products and Studies in your Library.

About the Feature

With the 25R1 release, Vault Safety supports deprecating Products in the Product library and Studies in the Study library. Previously, you could deprecate only Product Registrations and Study Registrations. When you deprecate a Product or Study, Vault can also deprecate the related Product Registrations and Study Registrations. This allows you to maintain a more current and accurate Library, reflecting the latest changes to your product lines and studies.

To support intake and case processing, Vault applies a Deprecated tag to applicable product fields on Inbox Items and Cases and study fields on Inbox Items, indicating the lifecycle state to users. In addition, Vault supports creating Cases and follow-up Cases that reference inactive Products and Studies.

Add States, State Types, and Actions to the Product and Study Lifecycles

To move Products and Studies between the Active and Deprecated lifecycle states, complete the following configuration on the Product Lifecycle and Study Lifecycle object lifecycles:

To complete the configuration, navigate to Admin > Configuration > Object Lifecycles > [Object Lifecycle].

Create States and State Types

For both the Product Lifecycle and Study Lifecycle object lifecycles, create the Deprecated state and then associate it with the Deleted State state type.

Add User Actions

To configure the Change State to Deprecated and Change State to Active user actions:

  • On the Active state of each object lifecycle, add the Change State to Deprecated user action with the following configuration:
    • Condition Type: Always
    • Allow the following actions: Change State to > Deprecated
    • Action Label: Change State to Deprecated
  • On the Deprecated state of each object lifecycle, add the Change State to Active user action with the following configuration:
    • Condition Type: Always
    • Allow the following actions: Change State to > Active
    • Action Label: Change State to Active

Add Entry Actions

To configure entry actions that set all Product Registrations or Study Registrations to the Deprecated state when the parent Product or Study is deprecated:

  • On the Deprecated state of the Product Lifecycle object lifecycle, configure an entry action as follows:
    • Condition Type: Always
    • perform actions: Change related object lifecycle state
    • Related Object: Product Registrations
    • Change State To: Deprecated
  • On the Deprecated state of the Study Lifecycle object lifecycle, configure an entry action as follows:
    • Condition Type: Always
    • perform actions: Change related object lifecycle state
    • Related Object: Study Registrations
    • Change State To: Deprecated
