Enable PSMF Version Binding

Learn how to configure your Vault to enable automatic version binding of PSMF binder documents.

About the Feature

Vault SafetyDocs can now automatically set version binding for Pharmacovigilance System Master File (PSMF) binders. With this update, users no longer have to manually edit the binder to set version binding, making PSMF binder management easier and more efficient.

The system sets binding according to the following rules:

Action Version Binding Rule
A draft of a PSMF binder is created The system selects the latest version of each document within the binder.
A PSMF binder is sent for review The system selects the latest steady state version of each document within the binder.
A PSMF binder is sent for approval The system selects the latest steady state version of each document within the binder.

Complete the steps on this page to enable PSMF version binding in your Vault.

Create Entry Actions on the PSMF Binder Lifecycle

Complete the following steps to configure entry actions on the Draft, In Review, and In Approval states of the PSMF Binder Lifecycle. These actions will enable the system to automatically set version binding when the binder enters these states.

  1. Go to Admin > Configuration > Document Lifecycles.
  2. Select the PSMF Binder Lifecycle and go to the States section.
  3. The following table details the entry actions you need to create on the relevant lifecycle states. To create these entry actions, go to the Entry Actions section of each lifecycle state mentioned below and select Edit > Create Entry Action.
    Lifecycle State Entry Action
    Draft If Binder equals Yes, show latest version of content.
    In Review If Binder equals Yes, bind content to latest steady state.
    In Approval If Binder equals Yes, bind content to latest steady state.

Remove Entry Criteria from the PSMF Binder Lifecycle

Once you have created the entry actions above, the entry criteria that were previously enabling manual version binding are no longer necessary. Complete the following steps to remove them.

  1. Go to Admin > Configuration > Document Lifecycles.
  2. Select the PSMF Binder Lifecycle and go to the States section.
  3. The following table details the entry criteria you need to remove from the relevant lifecycle states. To remove entry criteria, go to the Entry Criteria section of each lifecycle state mentioned below and select Edit. Then select the Delete (Delete icon) icon.

    Draft Always validate that Version Binding “All documents are bound to steady state” is applied.
    In Review Always validate that Version Binding “All documents are bound to steady state” is applied.
    In Approval Always validate that Version Binding “All documents are bound to steady state” is applied.
