Before you can use the PSMF Periodic Review features, you must set up a monthly job in your Vault.
About the PSMF Periodic Review Job
Vault SafetyDocs can be configured to automatically trigger periodic reviews of PSMF documents to determine if they are due for updates.
In order to conduct these reviews, the system uses a monthly job. This job detects documents that are due for review based on the following criteria:
- The document is classified under the PSMF Content document subtype.
- The document is in a steady state.
- The document's Next Review Date is in the coming month.
Each time this job runs, a PSMF Periodic Review record is created. All the documents that have been detected for review that month are added to this record as PSMF Document Reviews. Users are assigned tasks to review each document and make updates as necessary. This process ensures that PSMF content is regularly updated.
For this process to work, you must complete a one-time setup of the job. This includes providing the system with key information such as the date and time on which to run the monthly job, according to your organization’s requirements. Once the job is scheduled, it runs every month on the specified date and time.

Note: Documents classified as PSMF Generated Report with Report Generation Type: Periodic are also included in the PSMF Periodic Review job. Each time the job runs, new versions of these documents are generated from their associated reports. For each new version, a PSMF Document Review is added to the PSMF Periodic Review record, and a review task is assigned to the document owner. Note: Obsolete PSMF Documents are not included in the PSMF Periodic Review job. Depending on your Admin’s configuration, obsolete documents can be in any lifecycle state that is associated with the Obsolete state type.
Follow the instructions on this page to configure the PSMF Periodic Review job in your Vault.
Schedule the PSMF Periodic Review Job
Complete the following steps to configure the PSMF Periodic Review job:
- In Admin, go to Operations > Job Definitions.
- Select PSMF Periodic Review and then select Edit.
- Complete the following fields on the PSMF Periodic Review page and select Save:
Field | Description |

Job Owner | The group in your organization that will be responsible for overseeing this job. This group will receive notifications for any errors encountered.
Select the appropriate group from the picklist. |
Schedule | This field is set to Monthly by default and cannot be modified. |
Repeat By | Select when you want the job to run. The available options include:

Repeat On Day | This field appears if you select Day of Month in the Repeat By field.
Use the dropdown menu to select the day of the month on which to schedule the job. |
Repeat On | This field appears if you select Day of the Week in the Repeat By field.
Use the dropdown menus to select the day of the week on which to schedule the job every month. |
Time | Select the exact time and related timezone at which you want the job to run. |
Status | Select Active from the picklist to activate this job.
Note: This field only applies to Vaults deployed prior to 23R2. Vaults deployed after 23R2 will have this job activated by default. |
Result
The PSMF Periodic Review job will now run monthly according to the options you selected.
