About the Feature
In 23R2, Vault Safety now supports a more advanced Product match coding verification when importing an E2B or JSON file to Inbox Item.
This feature allows you to configure Product coding criteria to consider additional Product matching scenarios. Vault Safety verifies whether the imported Inbox Item meets the Product coding criteria and determines whether to proceed with Product matching.

25R1 Update: Extend Company Product Match Verification to All Suspect Products
With the 25R1 release, Vault offers the option to extend Company Product Match Verification to all Company Products with a Drug Role evaluated as suspect imported from structured source files to Inbox Items. This provides more comprehensive verification during intake. Learn how to configure this feature in your Vault.
Enable Product Coding in Intake Settings
Configure Product coding verification criteria on the Admin > Settings > Intake Settings page. The relevant settings are in the Product Coding section:
- Select the Enable Advanced Product Coding Verification checkbox so Vault populates the Product Match Confidence and the Product Match Criteria fields on Inbox Items.
- In the Must Match and Should Match fields, select fields for Vault to evaluate as Must Match or Should Match when determining the Product Match Confidence level of the primary Product on Inbox Items:
- Country
- Route of Administration
- Dose Form
Note: When comparing Product Registration values on Inbox Items to values on Products in the Product library:
- For matching to occur, all fields configured as Must Match must include values and must be an exact match.
- For fields configured as Should Match, Vault compares field values if populated, but blank fields do not prevent matching. When values are present, they must be an exact match.
- If the product’s Country Obtained is not provided, Vault attempts to match the Country using the primary reporter’s Country.
- Select the Enable Advanced Product Coding Verification Auto coding Override checkbox to prevent auto-coding of any primary Company Product with a Drug Role evaluated as suspect that does not meet the Auto code min Product Confidence level value. For Vault to apply this setting, you must also select the Enable Advanced Product Coding Verification checkbox.
- From the Auto code min Product Confidence level picklist, select an option:
- 1-Exact Match (ID Match)
- 2-Confident Match
- 3-Likely Match
- 4-Unlikely Match
- 5-Unknown
- 6-No ID or Name Match
Note: The Product Match Confidence must meet or exceed your setting for Vault to code the Company Product on an Inbox Item. If this field is blank, Vault considers 1-Exact Match (ID Match) as the minimum confidence required during evaluations. For Vault to apply this setting, you must also select the Enable Advanced Product Coding Verification Auto coding Override checkbox. Updating the Auto code min Product Confidence level field does not affect previously imported Inbox Items.
Update the Inbox Item Layout
Complete the following steps to add the Product Match Confidence and Product Match Criteria fields to Inbox Items:
- Go to Admin > Configuration > Objects > Inbox Item > Layouts > Inbox Item Detail Page Layout.
- In the Case Validity and Source section, select Add to add the following fields:
- Product Match Confidence
- Product Match Criteria
- Select Save.
Update the Product Registration Layout
Complete the following steps to add the Dose Form field to Product Registrations:
- Go to Admin > Configuration > Objects > Product Registration > Layouts > Product Registration Detail Page Layout.
- In the Details section, select Add to add the Dose Form field.
- Select Save.
(25R1) Configure Extend Company Product Match Verification to All Suspect Products
To configure this feature in your Vault:
- Navigate to Admin > Settings > Intake Settings.
- Select Edit.
- In the Product Coding section, select the Extend Advanced Product Coding verification to all Suspect/Interacting checkbox. To select this checkbox, you must have previously saved your Vault’s Intake Settings with the Enable Advanced Product Coding Verification checkbox selected.
- Select Save.
