Safety uses Checklist Creation Rules to generate quality control (QC) Checklists during Case processing and after a Case has been closed (the Process Completion Date is set). These rules consist of a set of Checklist Creation Rule Criteria and sampling.

When Vault generates QC Checklists for post-closure Cases, Vault generates a CSV log file and adds it as an attachment to the applicable Checklist Creation Rule. The log includes the following information:

  • Interval Start (UTC): Start date
  • Interval End (UTC): End date
  • Case Total: Total number of Cases that passed the associated rule
  • CCRA Total: Total number of generated Case Checklist Rule Assignments (CCRAs)

The following list describes the relevant terms:

  • Sampling: Defines how often Vault should create a Checklist.
  • Checklist Creation Rule Criteria: The criteria for a given Checklist Creation Rule, which includes specific Case attributes such as the Product, Seriousness, Event, etc.
  • Checklist Creation Rule: Defines which Checklist Design to use for a Case. A rule includes sampling and rule criteria.
  • Checklist Design: A Checklist Design template that is used to generate a Checklist for a Case that satisfies the Checklist Creation Rules Criteria and sampling.

Prerequisites

Before configuring Checklist Creation Rules, you must enable QC Checklist Generation.

Create Checklist Creation Rules

You can create Checklist Creation Rules for in-process Cases, post-closure Cases, Cases that do not require QC, or any other rules depending on your business needs:

  1. Navigate to Business Admin > Objects > Checklist Creation Rules.
  2. Select Create.
  3. Complete the following information:
    • Rule Name: Enter a name for this Checklist Creation Rule.
    • Bypass Checklist: If meeting this rule criteria means the Case does not require QC Checklist generation, select Yes. Otherwise, select No.
    • Checklist Design: Select the Checklist Design to which this rule belongs.
    • Processing Order: This field sets the order in which Vault searches Checklist Creation Rules. For example, if you set this as 1, and the Case meets the Rule Phase and Rule Type set, Vault evaluates this rule first.
    • Rule Phase: Select the state at which this rule should run.
      The Other phase value indicates the rule will run for Cases in any standard or custom lifecycle state, except for the following:
      • Quality Control state
      • Medical Review state
      • Final Review state type
      • Cases with a Process Completion Date
    • Rule Type: Select whether this rule should be applied to in-process (during Case processing) or post-closure (after the Case has been closed and a Process Completion Date has been set) Cases.
    • Sampling Percentage: Enter the percentage of time a Checklist is created if the Checklist Creation Rule passes. For each Case that qualifies for the rule, Vault generates a random number from 1-100; if the number is less than or equal to the rule’s Sampling Percentage, Vault will generate a Checklist. However, if Bypass Checklist is set to Yes for this rule, Vault will not generate a Checklist even if the Case qualifies and the Sampling Percentage is greater than the generated number.
  4. Select Save.

Create Checklist Creation Rule Criteria

To add Checklist Creation Rule Criteria directly to a Checklist Creation Rule:

  1. Navigate to the respective Checklist Creation Rule.
  2. In the Checklist Creation Rule Criteria section, select Create.
  3. Complete the following information:
    • Rule Criteria for All: If this rule criteria should apply to all child objects on the Case, select Yes. Otherwise, select No.
    • Rule Expression: Enter a rule expression for this rule criteria using any of the operators and functions in the Vault Formula Reference Guide and the Safety-specific functions detailed in Create Formula Expressions.
  4. Select Save.

Access Checklist Responses

To access QC responses, navigate to Business Admin > Objects > Case Checklists and then select the Checklist for which you want to see the responses.
