Learn how to enable the Document Intake Highlighter so users can extract data from unstructured and semi-structured source documents for intake.
About the Feature
With the 25R1 release, Vault provides the Document Intake Highlighter panel on the Doc Info page of Adverse Event Report classified documents. The Document Intake Highlighter allows users to map content in the source document when generating Inbox Items, which can then be promoted to Cases directly from the panel.
The panel displays specific Inbox Item fields for users to populate manually or using colored annotations in the source document, which maps the source details to the fields. These fields and annotation colors are maintained by Veeva and cannot be modified.

25R2 Update: Product Extraction
With the 25R2 release, you can enable automatic product extraction, allowing users to run the Extract Company Products action in the panel to generate product items based on matching terms in your Product library.
If you’re interested in discussing whether getting early access to this feature is appropriate for your business needs, contact your Veeva Representative.
Note: The panel displays up to 500 products and 500 events. Contact your Veeva Representative to increase these limits. If the Extract Company Products action would generate more than 500 unique Company Products for the Inbox Item, the action does not complete, and users see an error message.
Prerequisites
Before enabling this feature in your Vault, you must:

- To support automatic product extraction, you must first add all appropriate product, registration, and substance details to your Product library.
Update Intake Settings
To enable this feature in your Vault
- Navigate to Admin > Settings > Intake settings.
- Select Edit.
- In the Document Highlighter section, select the Enable Intake Document Highlighter checkbox so users can access the Document Intake Highlighter panel.
- Optional: To enable automatic product extraction, select the Load Terms for Auto-Extraction checkbox so users can run the Extract Company Products action on the panel.
- Select Save.
Grant Object Permissions
Ensure your permission sets are updated to grant Create access for users to the Inbox Item object according to your organization’s process. Manage object permissions from Admin > Users & Groups > Permission Sets > [Permission Set] > Objects > Inbox Item.
Define Document Role Permissions
To access the Document Intake Highlighter panel, users must have Owner or Editor document role permissions for the AER Lifecycle for the Case > Source > Adverse Event Report document type.
