With the 25R2 release, SafetyDocs extends the PVA Scheduling and document distribution functionalities by allowing:

This feature supports organizations with large volumes of reporting data in adopting time-saving SafetyDocs PVA capabilities, reducing the manual effort required to populate your Library and distribute documents to partners for review.

Workbench Report Set Scheduling

This release also introduces the ability to automatically run Workbench Reports in a Workbench Report Set on a schedule, ensuring timely compliance and reducing the manual workload required to generate recurring reports. As part of this feature, Vault enhances PVA Scheduling by allowing users to select specific days when defining a Weekly Schedule on a PVA Obligation.

Overview

To configure Distribute Workbench Reports Externally in your Vault, you must:

  • Add the Source Workbench Report Set field to the PVA Obligation object layout, below the Source Report Prompt field
  • Copy the standard layout for the following objects and set the copied layout as the default:
    • PVA Obligation - Contact Join
    • Schedule
    • Schedule Component
    • Schedule Recurrence
    • Scheduled Event
    • Scheduler Exception

Workbench Report Set Scheduling Updates

To enable Weekly Schedule updates in your Vault, you must update the PVA Obligation object layout.

Optionally, you may choose to update the Workbench Report Set object layout to display related PVA Obligations as needed for your business processes.

Update the PVA Obligation Object Layout

To update the PVA Obligation object layout, in the Scheduling section, add the Days to Run field below the Schedule field.

Update the Workbench Report Set Object Layout

To update the Workbench Report Set object layout, below the Workbench Report Set Activities section, insert a related object section and populate the fields as follows, then select Done:

  • Related Object: Select PVA Obligation
  • Section Label: Enter PVA Obligations
  • Show the section only in these lifecycle states: Select Pending
  • Creation Option: Select Prevent record creation
